Industry Trade Show | Exhibitor Guidelines
SETUP & TEARDOWN
- Exhibit materials must remain until closing.
- Exhibitors are responsible for installation & dismantling.
- Children under 16 are not permitted during setup/teardown.
- Protective footwear required.
PET WAIVER
- Waiver required for pets.
- Pets must be caged or on lead.
- Owner responsible for damages.
A/V EQUIPMENT & SOUND SYSTEMS
- Must not disturb neighboring booths.
- Pets Canada may curtail disruptive systems.
ILLEGAL PRODUCTS
- Only legal products may be displayed.
- Violations result in removal without refund.
ALLOCATION OF BOOTH SPACE
- Pets Canada assigns and may relocate booth space as required.
- Pets Canada is not responsible for aisle traffic and will not issue refunds for low traffic
STANDARD BOOTH SETUP
- 10ft booths have 8ft back walls, 3ft sides.
- End cap booths will have an 8ft back wall with no sides.
- No attaching items to venue structure.
- Custom booths require submission 3 months prior.
- Please consult poster on show floor for any clarification
CUSTOM BOOTH CONSTRUCTION
- Renderings & measurements required 3 months prior.
BOOTH PAYMENT TERMS
- Exhibitors who reserve a section of 1-9 booths must pay 100% upon booking
- Exhibitors who reserve a section of 10 or more booths must pay 70% 6 months prior to the show. The remaining 30% must be paid 3 months prior to the show
- For payments made via bank transfer, a copy of the payment confirmation or remittance must be emailed to jordan.henderson@petscanada.org to ensure the payment is properly recorded.
- Failure to complete payments in accordance with the above schedule may result in cancellation
IMPORTANT: Cheques in USD will not be accepted
BOOTH CANCELLATION TERMS
- Exhibitors may cancel any portion of their reserved booth space 90 days prior to the show to receive a refund
- Cancellations made less than 90 days prior to the show will not receive a refund of any amount
- All refunds will be paid in full minus the processing fee charged to Pets Canada
- Pets Canada reserves the right to change or revoke any booth assignment at any time
- In the event the show must be cancelled due to forces outside of Pets Canada control, such as pandemics, strikes, war, etc., Pets Canada shall determine the refund to the exhibitor after deducting expenses incurred by Pets Canada and reasonable compensation to Pets Canada
NO EXTERNAL FOOD AND BEVERAGE
- Venue caterers have exclusive rights.
- All food/drinks, incl. water, must be purchased onsite.
- External food will be removed.
FIRE PREVENTION & SAFETY
- Must comply with fire/building codes.
- Décor must be flame-retardant.
- Fire exits must remain clear.
DELIVERY & REMOVAL OF MATERIAL
- Exhibitors are responsible for transport to/from loading dock.
BUILDING & EXHIBIT HALLS
- Venue signage cannot be blocked.
- Tape removal is exhibitor’s responsibility.
- Rubber-wheeled dollies required.
COMMUNICATION
- By participating as an exhibitor, you acknowledge and agree that your contact details will be made publicly available through our online show guide. In addition, exhibitor lists may be shared with buyers, suppliers, and show vendors for the purposes of facilitating business connections and supporting the overall event experience.
- By registering, you agree to receive event‑related updates and promotional communications from Pets Canada by email and SMS. You may unsubscribe at any time using the link in our emails or by replying STOP/ARRET to any SMS.
LIABILITY
- Exhibitors must carry liability insurance.
- Pets Canada not responsible for losses.
- The exhibitor agrees to indemnify and hold harmless Pets Canada and the venue from any injury, death, property damage, or legal violations arising from the exhibitor’s actions or those of their representatives. The exhibitor also agrees to follow all terms of the agreement between the venue and Pets Canada. Furthermore, the exhibitor accepts full responsibility for any loss, cost, liability, or expense (including legal fees) resulting from any accident or incident involving the exhibitor, their staff, agents, or guests that occurs due to their occupancy or use of the exhibition space.
- The exhibitor must maintain liability insurance covering fire, theft, accidents, and all other risks. Pets Canada, the venue, and the property owners are not insurers and will not be responsible for any loss or damage of any kind to the exhibitor, its agents, or its employees. Exhibitors must also comply with any additional rules or regulations adopted by Pets Canada, which form part of this agreement.
